MINSETSU, INC. (hereinafter referred to as the “Company”) works together with its customers and partners to provide value that enriches society through its business activities.

The Company recognizes the importance of the appropriate handling and protection of Personal Information, and as its social responsibility, has established the following basic policy for the protection of Personal Information, and will make it known and thoroughly understood by its directors, officers and employees, and will promote compliance-oriented corporate activities.

  • The Company will appoint the Personal Information Protection Manager and give him/her the responsibility and authority for establishing, implementing and maintaining the Personal Information Protection Management System, and will manage the handling of Personal Information in an appropriate manner.
  • The Company will improve its internal regulations and operational practices based on internal audits.
  • The Company will request cooperation from companies and individuals with whom it does business in order to achieve the stated objectives.
  • This Privacy Policy will be posted on the Company’s internet homepage (URL=https://minsetsu.com/), corporate brochures, etc., so that it can be accessed at any time.
  • The Company has established a ” Contact for Complaints and Consultations” to receive complaints and consultations from individuals regarding the handling of the Personal Information and the Personal Information Protection Management System, and will respond to such complaints and consultations appropriately and promptly.
  • The Company’s directors, officers and employees will comply with the Act on the Protection of Personal Information, other laws, regulations and norms concerning Personal Information, guidelines and policies developed by the competent ministries and agencies.
  • The Company will continuously improve the Personal Information Protection Management System by checking its operation, conducting audits, and taking corrective and preventive actions.

Handling of Personal Information

Purpose of Acquiring and Utilizing Personal Information

When acquiring and utilizing Personal Information, the Company will comply with the Act on the Protection of Personal Information and other relevant laws and regulations, and will acquire and utilize it by appropriate means.
The purposes of utilizing the Personal Information that the Company acquires and retains are as follows:

a. Personal Information of customers

  • To propose and provide services or supports;
  • To introduce services dealt in by the Company;
  • To provide information on events (seminars, webinars, exhibitions, etc.) held (hosted, co-hosted, or co-sponsored) by the Company;
  • To register for use of services provided by the Company;
  • To send various publications;
  • To communicate, negotiate business, hold meetings, and implement contracts with customers;
  • To respond to inquiries and requests from customers;
  • To conduct various kinds of questionnaires.

b. Personal Information of applicants for employment and former employees of the Company

  • To provide information to, communicate with, or notify of applicants;
  • To perform employment selection procedures;
  • To perform personnel management for former employees pursuant to laws (including employee welfare matters);
  • To provide the Company’s information to, provide and/or distribute information regarding social activities to former employees if necessary, and other such kinds of management for former employees.

c. Personal Information of employees

  • For payroll;
  • For social insurance;
  • For health care;
  • For tax calculation;
  • For human resource management.

Outline of Security Control Measures

The Company takes necessary and appropriate measures to prevent leakage, loss, or damage and otherwise to securely manage Personal Information handled by the Company. The outline of the security control measures the Company takes to protect Personal Information is as follows:

  1. Establishment and operation of the Personal Information Protection Management System;
  2. Training for handling Personal Information in accordance with the Personal Information Protection Management System;
  3. Conducting periodic self-inspections and internal audits of the status of Personal Information handling;
  4. Implementation of access control and measures against unauthorized access to information systems that handle Personal Information;
  5. Implementation of measures to prevent theft or loss of equipment, electronic media and documents that handle Personal Information;
  6. Access control and restrictions on equipment brought into areas where Personal Information is handled.

Entrustment of Handling of Personal Information

When the Company entrusts all or part of business to a trustee, the Company may entrust the handling of the Personal Information to the trustee within the necessary scope for achieving the purpose of utilization. In this case, the Company selects and assigns the trustee that meets the standards stipulated by the Company, and ensures secure management of the Personal Information by concluding an agreement concerning the handling of the Personal Information and appropriately managing and supervising the trustee.

Provision and Disclosure of Personal Information to a Third Party

As a rule, the Company does not provide nor disclose to a third party the Personal Information that the Company has acquired, without obtaining consent of the person, except the below cases. In a case where the Company provides or discloses the Personal Information to a third party by obtaining consent of the person, the Company takes appropriate measures that the third party to which the Company provides or discloses the Personal Information should protect the Personal Information.

  1. Cases based on laws and regulations;
  2. Cases in which there is a need to protect a human life, body or property, and when it is difficult to obtain the person’s consent;
  3. Cases in which there is a special need to enhance public hygiene or promote fostering healthy children, and when it is difficult to obtain the person’s consent;
  4. Cases in which there is a need to cooperate in regard to a central government organization or a local government, or an individual or a business operator entrusted by them performing affairs prescribed by laws and regulations, and when there is a possibility that obtaining the person’s consent would interfere with the performance of the said affairs.

Procedure to Request Disclosure, etc.

If the person or his/her representative requests “notification of purpose of utilization, disclosure of the Personal Information or records of provision to a third party, correction, addition and deletion of the Personal Information, utilization discontinuation or elimination of the Personal Information, or discontinuation of provision to a third party of the Personal Information” to the Company regarding the Personal Information held by the Company, please first contact the Company by e-mail at the following “Contact”. Upon filling in the required information in a document prescribed by the Company and going through the procedures to confirm the identity of the person or his/her representative, the Company will promptly respond to the request in accordance with the laws and regulations. In some cases, the Company may request a copy of an official certificate to be mailed to it for verification.
